Summary

Introduction: Barber Preparatory Academy (“School”) Is currently accepting proposals for a weekly average of sixteen (16) hours of on-site Field Technician Services.  Barber Preparatory Academy is a Michigan non-profit corporation and a public-school academy in Highland Park, Michigan.

The desired start date for the contract: November 1, 2024, with a duration of eight (8) months and ending on June 30, 2025.  The contract will be renewable yearly for following July 1-June 30, (“School Year”)  with board approval, 60 days prior to the end of the school year. 

Bidding Window:  Bids will be reviewed and received from September 30- October 11, 2024, and a selection made on October 22, 2024, with an anticipated start date of November 1, 2024.

Purpose: The purpose of this Request for (RFP) is to solicit proposals from various bidders, conduct a standardized valuation based on the prescribed criteria, and select the candidate(s) who most closely match the stated requirements.  Barber Preparatory Academy reserves the right to award contract(s) to bidder of their choosing at the school’s discretion, or decline awarding a contract to any respondent.

  1. Selection Criteria

 

All offer submissions that meet the requirements of this RFP and are submitted by the deadline will be considered based upon the materials provided. The following criteria will be used for selecting the winning bid(s):

 

  1. Price of services for an average of 16hrs of service per week
  2. Meeting ALL requirements of the RFP
  3. Ability to flex hours and provide an average of hours across months of the year
  4. Ability to scale service up or down in number of hours of week supported on 60 days’ notice
  5. Ability to cancel agreement at any time with only 30 days’ notice
  6. The proposal’s ability and likelihood of achieving the desired outcome of technical support
  7. Past performance of bidder’s similar services
  8. The experience and expertise of the bidder’s management and staff
  9. The experience and expertise of the bidder’s techs working with fully cloud managed technologies – Microsoft Intune and Azure Active Directory (Entra ID)
  10. The experience and expertise of the bidder’s ability to maintain a presentable technology environment
  11. The experience and expertise of the bidder’s ability to maintain an accurate inventory
  12. Sufficient liability Insurance for personnel

 

Deliverables

Emailed Proposals will be accepted until 5:00p.m. on October 11, 2024, by Pamela Farris, [email protected].  Any proposals received after that date/time will be discarded.  The proposal must by an official agent or authorized representative of the bidder.  

Terms and conditions will be negotiated upon selection of the winning bidder(s) and will be subject to review by Barber Preparatory Academy and/or its legal advisors, including but not limited to scope, costs, timeline, and anything else applicable to the proposal.
